Wi-Fi network: Action required to renew certificates for Windows, iOS and MacOS devices

On the morning of Thursday, April 2nd, IT Services will renew the security certificate that secures authentication to ��Թ�'s wpa.mcgill.ca, eduroam, cusm-muhc.mcgill.ca, and wpa.bus.mcgill.ca Wi-Fi networks.

This certificate allows you to sign on to the Wi-Fi network securely.

Some Android and Windows devices, as well as all iOS/MacOS devices will display a message prompting users to accept the new certificate.

The fix for the scan-to-email issue will be applied to all affected uPrint machines this afternoon.

Each machine will be briefly unavailable for about 3 minutes while the update is installed:

Around 1:30 p.m. for some machines
Around 2:30 p.m. for others

During this time, the machines will not respond.

Notice: Microsoft Planner for Teams – Service Disruption

A solution is in place, but it may take up to 72 hours to fully take effect.

SharePoint "Alert me" is going away

Teams update: the Files tab is being renamed Shared

Update concerning Workday and data security

Workday has informed us of a phishing campaign that targeted many large organizations, including Workday. This led to unauthorized access to one of their third-party platforms, Workday’s Customer Relationship Management (CRM) software. There is no indication that ��Թ� employees’ personal information and HR related information stored in ��Թ�'s Workday system were accessed during this incident.

Nevertheless, we are doing our due diligence to investigate, and we are taking all necessary precautions to safeguard our systems and information.

IT Services recently migrated many Webex softphone users to Teams Phone.

As a result, users may have received a message from Microsoft stating their license will be deactivated soon. (See screenshot above.) It is a legitimate message from Microsoft.

All ��Թ� faculty and staff are assigned Microsoft 365 licenses that provide access to applications such as Teams, Outlook, OneDrive, Word, and Excel. As part of the recent migration, IT Services changed the type of Microsoft 365 license assigned to some users.

We have received reports of a Read.AI bot attending or attempting to attend online meetings organized by ��Թ� faculty and staff. The bot uses generative AI to create a text summarizing a meeting’s discussions and decisions; it then shares a link to that document with all participants.

��Թ� must vet all IT solutions to ensure they safeguard data privacy and security. Read.AI has not been approved for teaching, research, or administrative activities at the University.

Changes to MCGILL ALERT! mobile device notifications

��Թ�’s Emergency Notification System allows you to opt in your mobile device to receive alerts during time-sensitive situations and disruptions in the use of various buildings on campus.

In the past, some mobile phone carriers only allowed voice messages, not SMS text messaging. Today, all carriers support SMS, so we will switch all Emergency Notification System messaging to SMS for mobile phones starting September 18.

If your personal mobile device is configured to use text-to-speech, SMS notifications from ��Թ� will be read aloud.

Change to the classroom telephones autodial behavior

Users may be intermittently unable to download attachments or view embedded images in Outlook on the web

Users may see the following error message when an attachment fails to download: “Error downloading the file content.” Downloading attachments and embedded image viewing may succeed after signing out and then back into Outlook on the web.

If available, users can download attachments and view embedded images consistently through the Outlook desktop client.

IT Services is currently working on a fix to resolve the issue.

myCourses: grade export function unavailable

In myCourses, instructors are currently unable to export grades to Minerva from myCourses. This is an ongoing issue that IT Services is actively addressing, working closely with the vendor to restore this function and testing possible fixes.
